Deloitte RPA Helps Ingram Micro in VAT Output Invoice Management

Business Scenario

Based on Ingram Micro's service in China, there will be tens of thousands of invoices issued to different clients. With the issue of Value-added Tax (VAT) invoices, huge demands for invoice copies from both internal sales and external clients' accountants become an important but heavy work for tax invoice managers.

How Deloitte RPA Works

Deloitte RPA (Robotics Process Automation) provides automated process for e-filing and invoice query on Output VAT invoice. This will tackle the business pain points effectively, increase work efficiency and accuracy, redeploy finance team capabilities so that Ingram Micro can focus on higher-valued work.

Today we will introduce Deloitte RPA's contribution in VAT Invoice E-filing, Invoice Archive Query and Invoice Delivery Management.

VAT Invoice E-filing

By using OCR, the robot will archive the VAT invoice electronically, classify and summarize the invoice copies according to various demands, and build the database for invoices.

Each invoice can be queried separately after the achieving.

It takes only 10 hours each month for Deloitte RPA to finish the auto-archiving of tens of thousands of invoices without any manual intervention.

Invoice Archive Query

With the help of Deloitte RPA, internal sales only need to fill in the invoice querying application form to related personnel for approval. The approved application form can be received automatically in 7*24h. Then the robot will search and reply the invoice copies to specific personnel.

The query efficiency of per invoice has been reduced from 5 days to 1 day on average.

Invoice Delivery Management

Deloitte RPA helps preparing the detail information of Bill of Express for couriers. It will also help tracking the status of delivery and informing the related departments.

Contribution

As the first process optimization project of Ingram Micro in 2018, the VAT output invoice management automation process is go-live successfully. It increases satisfaction of internal and external clients towards VAT output invoice management, and reduces the communication cost in cross-functional cooperation.
