Why should you automate the online data reporting?

The real-time online data reporting requirement, which enters into force as of 1 July 2018, may prove to be a sensitive issue for your company in three ways:

  • Ongoing itemised reporting at short deadlines
  • Pre-defined reporting structure
  • Storage of identification codes for invoices

Ongoing itemised reporting at short deadlines

Under the regulations, all companies must comply with the real-time online reporting requirement. Accordingly, taxpayers are required to report real-time information to the NAV on all invoices with a VAT content of at least HUF 100,000 issued using an invoicing programme.

This itemised reporting obligation poses an insurmountable challenge for companies that are yet to implement at least a semi-automated solution. The requirement of real-time reporting increases the likelihood of manual errors, and the HUF 100,000 threshold (compared to the originally proposed HUF 2,000,000 amount) significantly increases the number of invoices affected by the regulation.

Pre-defined reporting structure

Invoice data must be submitted to the tax authority in a pre-defined format. This means that the regulation is not aligned with the current operation of companies, and no distinction is made on the basis of special activities and industry-specific features. Compliance with this one-size-fits-all arrangement presents a challenge for businesses as they need to review the data structure of their invoice data. At the same time, the standardised requirement offers an opportunity for full or partial automation at a company level since all businesses must standardise their otherwise unique invoicing arrangements.

Storage of identification codes for invoices

Following the submission of data, the NAV generates a unique identifier for each invoice. This code must be stored separately for each invoice. If you do not employ an automated solution for linking invoices and confirmation codes, then the above administrative burden will be doubled, starting from the date when the regulation enters into force.
